Acceptance criteria

At least 95% of requirements in the test set are recognised correctly.measurable

Uncertain line items go to sales; the system does not guess.

  • Fixed price, not an open bill

Scope and price are fixed in writing before the build and do not change afterwards.

  • Signed off on figures

Criteria and a test set from real cases are agreed up front. What meets them is signed off.

  • In your systems

Built into the Outlook, Teams, ERP or DMS you already have. No new window that nobody opens after three weeks.

  • Weeks, not quarters

One use case, clearly scoped. The first one usually runs in real operation after a few weeks.

Who it is for, and when.

  1. 50%

The demo was good, daily work was not.

In the workshop it ran on ten examples; in the inbox it failed on a thousand exceptions. Many projects end right here.

Gartner, Jan. 2026: at least half of GenAI projects end after the proof of concept
  2. Nobody said when it is good enough.

Without acceptance criteria a pilot is never finished or never signed off. The discussion turns on feelings instead of figures.

  3. Built next to the workplace.

A tool in a new window stops being opened after three weeks. What does not run where the work happens does not stick.

Scope and acceptance

How it is measured is fixed before the build.

We define the case in writing and fix a test set from your real cases. The pilot is measured against it at the end, not against gut feeling.

Build and rollout

Where your team already works.

The AI component gets an interface in your tools and a connection to your systems. Then we switch it on team by team.

  • Progress on real cases

The department sees early what the system does with its own cases, and rates it.

  • Uncertain cases go to people

What the system does not recognise with confidence lands with the team, with its findings, instead of being guessed.

  • Switched on step by step

Training at the workplace, then the next team. You decide who joins, and when.

What you hold in your hands.

  • First use case in real operation
  • Connection to your systems, such as ERP, CRM or DMS
  • Acceptance record against the criteria agreed in writing
  • User training at the workplace
  • Documentation and handover; code and data belong to you

Tasks and limits.

What the pilot takes on

  • Reads and sorts the cases within the agreed scope
  • Suggests drafts in your systems
  • Hands uncertain cases to people instead of guessing
  • Logs every suggestion

What your team takes on

  • Signs scope and acceptance criteria before the build
  • Approves whatever goes out with commitment
  • Signs off, or sends back for fixes
  • Decides who gets access, and when

Pilot & implementation

The AI strategy picks the case, the pilot proves it on your data and takes it into production, and operation keeps it running after that.

Which one when?

  • AI strategy

Not sure yet which case pays off? Start with the AI strategy.

  • Operation & improvement

The pilot is signed off. Now operation keeps it running and builds the next case.

The way there.

From the first call to a system in operation. Each phase stands on its own; none ties you to the next.

Frequent questions

Common questions about it.

The questions that almost always come up.

What does an AI pilot cost?

A fixed price from €5,000, plus VAT. We name the exact price once scope and acceptance criteria are set, and it does not change after that.

How long does an AI pilot take?

A first case is usually in use within a few weeks. Exactly how long depends on the data and the interfaces, and it is fixed before the start.

Do we need the AI strategy first?

No, if you can describe the case and the data exists. Then we settle scope and criteria in the introductory call and one short meeting after it. If the case is still open, start with the AI strategy. If it does not find three use cases that pay for themselves within 12 months on paper, we refund the €1,990 in full.

Do we have to change our systems for the pilot?

No. We build into the ERP, CRM, DMS and inboxes you already have. Anything that cannot be connected we find out before costs arise.

Who owns the result of the pilot?

You do. Code and data belong to you, and documentation starts on day one. We can take over operation or hand it to your IT.

Does our data leave the building during the pilot?

Only if you want it to. We run in German data centres under a data processing agreement, or in your own environment.
