Intelligent document processing: understand documents, not just retype them.

Intelligent document processing reads invoices, drawings and contracts, checks them against your rules and puts anything uncertain on a review list.

  • Check instead of retype

Invoices, delivery notes and drawings arrive as finished fields. Your team only looks at what is flagged.

  • Any layout, no template

The system reads arrangement, tables and stamps along with the text. A new supplier needs no new template.

  • Binding values stay with people

Amounts above a limit, tolerances and contract deadlines are always released by someone on your team, even when the system is sure.

  • Quality in figures

Accuracy per field, share processed without a touch and review rate, measured on your documents before go-live and continuously in operation.

Where it gets stuck today.

  1. 45 %

The e-invoice arrives, the paper stays.

Invoices are becoming structured, step by step. Delivery notes, mill certificates, drawings and contracts are not. They keep arriving as PDF, scan or photo, and someone retypes them.

Bitkom, Dec. 2024, just before receiving became mandatory: fewer than half of German companies could receive e-invoices (1,103 companies with 20 or more employees)
  2. Every supplier has its own layout.

Classic OCR needs a template per sender. With every new supplier, every new title block and every table running over two pages, the upkeep starts again.

  3. 92.7 %

Even the best model misreads some fields.

On scans, even the best model tested gets roughly every fourteenth field wrong. Writing that into the ERP without a confidence score and a review list means finding the errors in accounting or at the machine.

Fraunhofer IAIS and Lamarr Institute, 2025: best of eight multimodal models, fields read correctly on scanned invoices (96.5 % on clean PDFs)

Recognise and read

First understand what it is. Then read it.

Every document is first assigned its type, because an order confirmation needs different fields from a mill certificate. Then the system reads text and arrangement together, across all pages, with a location for every field.

Check

Checked against your rules before anything is booked.

Read is not the same as right. Every document runs through the rules for its type, and whatever does not fit or is uncertain lands with your team, with its location.

  • Rules per document type

Totals against line items, mandatory invoice details, certificate values against the standard, prices against the order.

  • Confidence per field

Every field has its own threshold, derived from your test documents. Below it, nothing is taken over silently.

  • One review list, not a pile

Your team sees the document, the flagged spot and the suggestion side by side and decides with one click.

Measure

Measured on your documents, not on a demo.

Before go-live, your real documents become a test set, and we measure per field against it. In operation the same figures keep running, so you see when a new layout or a poor scanner pulls quality down.

Approaches

The usual ways to read documents.

For reading there are ready-made cloud services, language models that read the page as an image, and open source tools. Measuring on your documents shows which fits; often it is a combination.

  • Docling, run by us

    Our default

Our stack, open source, in Germany

    Fits when
your documents should not leave your company for a US cloud service. Docling reads PDFs, scans and Office files including tables and headings; a language model from an EU endpoint fills individual fields. Uncertain values go to the review list.
    Mind
For very large volumes of one form type, a ready-made model from a cloud provider can be faster to start; we check that at the outset.
  • Azure Document Intelligence

    Managed, Microsoft Azure

    Fits when
You already work in Azure. Prebuilt models for invoices, receipts and layout, plus custom models trained on your sample documents.
    Mind
Billed per page; the fields of the prebuilt models are set by Microsoft.
  • Google Document AI

    Managed, Google Cloud

    Fits when
You work in Google Cloud. OCR, form and layout parsers, plus custom extractors and classifiers that sort mixed batches by document type and split them.
    Mind
Another cloud provider with its own contract; settle region and data processing first.
  • Amazon Textract

    Managed, AWS

    Fits when
You work in AWS. Text, handwriting, forms and tables, with a dedicated interface for invoices and receipts.
    Mind
Delivers the fields it read; matching, check rules and the review list come after it.
  • Multimodal language models

The model reads the page image

    Fits when
Documents have no fixed layout or context matters, as with drawings and multi-page files. The model reads text and arrangement together and fills your schema.
    Mind
It does not deliver a reliable confidence score per field by itself; without measuring and check rules, errors stay invisible.

Tasks and limits.

What the system takes on

  • Assigns every document its type, including mixed batches and multi-page files
  • Reads text, tables, title blocks, stamps and handwriting, every field with its location
  • Reads e-invoices directly from the structured data, without OCR
  • Checks against rules: totals, mandatory details, purchase order, standard
  • Gives every field a confidence score and puts uncertain ones on the review list

What your team takes on

  • Decides which fields are binding and always need release
  • Works through the review list and corrects what was misread
  • Sets the rules per document type and the thresholds per field
  • Decides on differences from the order or the contract

Document Intelligence

Document intelligence understands the single document. Data & documents puts the data behind it in order: master data, duplicates, text for knowledge systems.

Which one when?

  • Data & documents

Should the data behind it be put in order first, master data, duplicates, text for knowledge systems? Then data & documents.

  • AI agents

Does each document need a decision about what happens next? Then an AI agent on the fields read.

  • Workflow automation

Does the checked record always take the same route into the ERP? Then workflow automation is enough.

The way there.

Frequent questions

Common questions about it.

The questions that almost always come up.

What is intelligent document processing?

Intelligent document processing does not just read documents as text, it understands them: it recognises the document type, reads layout, tables, stamps and handwriting, extracts the fields and checks them against your rules. Every field carries a confidence score, anything uncertain lands on a review list.

How is intelligent document processing different from classic OCR?

Classic OCR turns pixels into text, and a template per supplier says where each field sits. Every new layout needs a new template. Current models read text and arrangement together: they recognise tables, title blocks and stamps even in documents they have never seen. We use both, depending on which performs better on your documents.

How accurately does the AI read our documents?

We measure before we name a figure. A batch of your real documents becomes a test set. On it we report per field how often it is read correctly, what share runs through without a touch and how much lands on the review list. Those three figures are also the acceptance criteria.

What about e-invoices in XRechnung or ZUGFeRD format?

We read them directly from the structured data, without OCR. Since 2025 a PDF invoice no longer counts as an e-invoice in Germany; paper and PDF will stay for a long time for delivery notes, certificates, drawings and invoices from smaller suppliers. Both run through the same pipeline and the same checks.

What happens with handwriting and poor scans?

The system reads them as well as it can and says honestly how sure it is. If a field falls below the agreed threshold, it goes to the review list with its location. A blurred photo is flagged, not guessed.

Who decides on binding values?

Your team. Amounts above a limit, tolerances, deadlines and termination clauses always go to a person, even when the system is sure. You decide which fields those are, not us.

Where are the documents processed?

In German data centres or in your own infrastructure, with a data processing agreement under Art. 28 GDPR in place before the first document flows. Your documents are not used to train third-party models.
